Who we are
BuildCard Studio is operated by Maine Provisions Inc, a Maine corporation located at 363 Main Street, Kingfield, Maine 04947, United States. You can reach us at hello@buildcardstudio.com.
What we collect
We collect information in three ways: when you submit our intake form, when you pay an invoice, and when you email us. Specifically:
From the intake form
- Your name, business name, and email address
- Your phone number, if you provide one
- Files you upload — typically menus, vendor invoices, and product photos
- Information you type into form fields, such as your blended labor rate or notes about your menu
When you pay
- Your billing name, billing address, and email address
- A record of which service you paid for and the amount
- If you're a BuildCard Watch subscriber, a record of your subscription status, anniversary date, and billing history
Payment card information is collected and processed entirely by Stripe. We never see, store, or have access to your full card number. Stripe also stores the recurring billing information for BuildCard Watch subscribers and processes monthly charges on our behalf.
When you email us
- The contents of your email and any attachments you send
- Standard email metadata (sender address, timestamps, subject)
What we don't collect
Our website doesn't run any analytics trackers, advertising pixels, or third-party cookies. We don't track you across the web, we don't profile you, and we don't have a marketing database.
How we use your information
We use what you send us to do the work you've hired us to do — and nothing else. Specifically:
- To build the recipe cards you've ordered
- To deliver finished cards to you and answer your questions
- To process payment for the work
- To keep records required by tax law and ordinary business accounting
- To follow up if you've asked for revisions or future work
We do not use your information for marketing to other people, we do not sell it, and we do not share it with anyone outside the vendors listed below.
Vendors that help us run the service
To deliver our service, we use a small number of established vendors. Each one only sees the information necessary for its role.
| Vendor | What they do | What they see |
|---|---|---|
| Tally | Hosts our intake form | Everything you submit through the form |
| Cloudflare | DNS, email routing, secure tunnel for form submissions | Email metadata; encrypted form delivery in transit |
| Google (Gmail & Drive) | Receives our business email; backs up our work files | Email correspondence; your submitted files and our drafts |
| Stripe | Payment processing | Payment card details, billing info, payment history |
| Resend | Sends our outbound emails (invoices, deliveries, replies) | Email content and recipient addresses; logs are retained briefly |
| Netlify | Hosts buildcardstudio.com | Standard web traffic logs (IP address, page views) |
Each of these vendors has its own privacy policy and security practices. We use them because they're industry-standard and well-maintained, not because we have any special arrangement with them.
Where your data is stored
Your submitted files and our working drafts are stored on a Mac mini located in Maine, USA, and synced to Google Drive for backup. Email is stored by Google. Payment records are stored by Stripe. We're a US-based business and all our vendors maintain primary infrastructure in the United States.
How long we keep it
We keep your submitted materials and the recipe cards we build for you indefinitely, so that we can help with revisions, reorders, or future updates without making you start over. If you'd like us to delete your files, just email hello@buildcardstudio.com and we'll remove them within 30 days, except for records we're legally required to keep (such as invoices for tax purposes).
How we protect your information
We use HTTPS for everything sent to and from our website. Form submissions are delivered over an encrypted tunnel. Email authentication (SPF, DKIM, DMARC) is configured for our domain. Working files on the Mac mini are protected by full-disk encryption and access is limited to the owner. We don't keep payment card numbers on our systems at all — Stripe handles that.
That said, no system is perfectly secure, and we're a small operation. We work hard to handle your information carefully but cannot guarantee absolute security.
Your rights
You can:
- Ask what information we have about you
- Ask us to correct anything that's wrong
- Ask us to delete your information (subject to legal record-keeping requirements)
- Ask us to stop emailing you about anything other than active work
To make any of these requests, email hello@buildcardstudio.com. We'll respond within 30 days.
If you're a California, Colorado, Connecticut, Virginia, or other state-privacy-law resident, you may have additional rights under your state's law. Email us and we'll honor any rights your jurisdiction grants you.
Children
BuildCard Studio is a business-to-business service. We don't knowingly collect information from anyone under 16. If you believe a child has submitted information through our form, email us and we'll delete it.
Changes to this policy
If we update this policy, we'll change the "Last updated" date at the top. For material changes that affect how we use existing customers' data, we'll email you directly.
